Terms of use
Simple rules. Shared responsibility.
1. Operator and purpose
The system is operated by BackOffice Outsourcing Sp. z o.o., Aleja Stanów Zjednoczonych 72/12, 04-036 Warszawa, Poland, tax ID 1132867570. It enables companies and their authorised employees to submit requests for different types of leave and record sickness absence.
2. Access and technical requirements
To view the site, you need an internet connection and an up-to-date browser supporting HTML, CSS and JavaScript. Access to a company area requires an individual account and permissions granted by the person in charge.
Company data is accessible only to authorised people within the employer relationship. Do not share accounts. Employees access their own matters, while managers access employees and requests within their permissions. Company data is separated; access to one company does not authorise access to another.
3. Leave requests
A request specifies the appropriate leave type and dates and is sent to an authorised person. Available leave types, required data and documents should follow the law and the relevant employer’s rules.
Submitting a request does not automatically grant leave. Decision requirements, notification methods and statutory exceptions depend on the absence type. A receipt confirms that the request has been submitted.
4. Sickness absence
Sickness absence records incapacity for work. It is not annual leave, should not reduce the annual leave allowance and is not approved in the same way as an ordinary leave request.
Reporting in the system does not replace a certificate issued by an authorised doctor or e-ZLA processing in Poland’s ZUS systems. We do not claim automatic integration with ZUS. Employees must follow applicable absence notification rules. Do not enter diagnoses, symptoms or treatment details.
5. Proper use
Users must provide accurate, current and necessary information, protect account access and use only data and functions covered by their permissions. Attempts to access other people’s data, disrupt the service or post unlawful content are prohibited.
For urgent absence matters, use your employer’s specified channels and procedures.
6. Help, enquiries and complaints
For employment matters, absence types and leave dates, contact the person designated by your employer. Comments or technical complaints about the site may be sent to BackOffice through the contact form or by post to the company address. Include contact details, a description of the issue, approximate time and browser used. Do not send passwords or medical records.
Enquiries are handled without undue delay, subject to deadlines required by applicable law. These terms do not exclude mandatory legal rights or liability rules set out in the contract with the client company.
7. Data and updates
Data processing is explained in our GDPR notice, privacy policy and cookie notice. These terms do not amend labour law, employment contracts or the employer’s internal rules. Significant changes to an active service should be accompanied by updated terms and appropriate notice to users.
8. Subscriptions and payments
The subscription contract and payments are made by the company represented by an authorised person. Billing is available after the company administrator signs in. Employees do not pay the company subscription from their own accounts. Stripe handles subscription payments; available methods are displayed in each payment summary.
Plan scope, price and taxes, currency, billing period, renewal and cancellation rules follow the offer or contract presented before ordering. Recurring charges require explicit acceptance of subscription terms and payment authorisation by an authorised person. Creating an account, signing in or displaying a Stripe logo does not place a paid order.
Plan changes, cancellation and refunds follow the relevant contract and law. The company administrator sends billing questions and complaints to BackOffice through the contact form. Do not enter full card details or security codes in the form.
